Privacy Policy

Effective Date: 15 January 2025

At solareximuno, we understand that privacy matters. When you trust us with your business data and personal information, we take that responsibility seriously.

This policy explains what information we collect, why we need it, how we use it, and what rights you have. We've written it in plain language because transparency shouldn't require a law degree.

solareximuno operates under Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Our business is located at Shop 10.61, World Square Shopping Centre, 644 George St, Sydney NSW 2000.

If you're enrolling in educational programs, we'll also collect relevant background information about your current role and learning goals.

Information We Collect Automatically

Like most websites, we collect some information automatically when you visit our site. This includes your IP address, browser type, device information, and how you navigate through our pages. We use this to improve the site experience and understand which content is most helpful.

We don't use intrusive tracking. Our analytics focus on aggregate patterns rather than individual behaviour across the web.

How We Use Your Information

We're not in the business of collecting data for the sake of it. Everything we collect serves a specific purpose related to delivering our educational and business analysis services.

  • To deliver the courses and services you've enrolled in, including sending course materials, assignment feedback, and program updates
  • To communicate with you about your enrolment, upcoming sessions, or changes to scheduled programs
  • To process payments and maintain accurate financial records
  • To respond to your inquiries and provide customer support
  • To improve our course content and teaching methods based on student feedback and performance patterns
  • To send relevant educational content or program announcements (you can opt out of marketing emails at any time)
  • To comply with legal obligations, such as tax reporting or regulatory requirements
  • To maintain the security and integrity of our systems

We will never sell your personal information to third parties. This isn't a revenue stream for us, and it never will be. Your data stays with us or with trusted service providers who help us deliver our services.

Sharing Your Information

There are limited circumstances where we share your information with others. These are always necessary for providing our services or meeting legal requirements.

Service Providers

We work with carefully selected service providers who help us run our business. This includes payment processors, email service providers, cloud hosting companies, and learning management system platforms. These providers only access the information needed to perform their specific functions, and they're contractually required to protect your data.

Legal Requirements

Sometimes we're legally required to disclose information. This could be in response to a court order, subpoena, or other lawful government request. We'll only provide what's legally required and will notify you unless prohibited by law.

Business Transfers

If solareximuno is acquired by or merged with another company, your information would be transferred as part of that transaction. We'd notify you before this happens and explain any changes to how your data is handled.

We don't share your information for advertising purposes or with data brokers. What you share with us stays within the educational context you intended.

Your Rights and Choices

Australian privacy law gives you specific rights regarding your personal information. Here's what you can do and how to do it.

Access Your Information

You can request a copy of the personal information we hold about you. We'll provide this within 30 days of your request. There's no charge for reasonable requests, though we might charge a small fee for extensive or repeated requests.

Correct Your Information

If your personal information is inaccurate, incomplete, or out of date, you can ask us to correct it. You can update most information directly through your student portal, or contact us for help.

Delete Your Information

You can request deletion of your personal information in most circumstances. There are some exceptions – we might need to keep certain records for legal compliance, financial reporting, or legitimate educational purposes (like maintaining accurate transcripts).

Opting Out of Marketing: Every marketing email includes an unsubscribe link. Click it, and you're done. We'll still send you essential communications about courses you're enrolled in, but no promotional content.

Data Portability

You can request your data in a structured, commonly used format. This makes it easier to transfer your information to another service if you choose.

Lodge a Complaint

If you believe we've mishandled your personal information, contact us first. We take complaints seriously and will investigate promptly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC).

How We Protect Your Information

Security isn't just about technology – though we use industry-standard encryption and secure hosting. It's also about policies, procedures, and how we handle data day to day.

Our website uses SSL/TLS encryption for all data transmission. Student records are stored on secure servers with restricted access. We don't store credit card numbers – our payment processor handles that using PCI DSS compliant systems.

Staff access to personal information is limited to those who need it for their role. Everyone who works with student data receives privacy training and understands their obligations.

We regularly review our security practices and update them as needed. While no system is completely immune to breaches, we've implemented multiple layers of protection to keep your information safe.

If a data breach occurs: We'll notify affected individuals and the OAIC as required by law. You'll receive clear information about what happened, what information was involved, and what steps we're taking.

How Long We Keep Your Information

We don't keep information longer than necessary. Different types of data have different retention periods based on legal requirements and legitimate educational purposes.

Course Records
Academic transcripts and certificates: maintained indefinitely for verification purposes. Course materials and submissions: 7 years after program completion.
Financial Records
7 years from the end of the financial year they relate to (as required by Australian tax law)
Marketing Data
Until you unsubscribe or request deletion. Inactive contacts are removed after 3 years.
Inquiry Records
2 years after your last contact with us, unless you enrol in a program

When we no longer need information, we delete it securely or anonymise it so it can't be linked back to you.

International Data Transfers

Our primary operations and data storage are in Australia. However, some of our service providers use servers located overseas, particularly in the United States and Europe.

When your information is transferred internationally, we ensure appropriate safeguards are in place. This includes using providers who comply with recognised international privacy frameworks and contractual protections that require them to handle your data according to Australian privacy standards.

If you're accessing our services from outside Australia, your information will be transferred to Australia where it's subject to Australian privacy laws.

Cookies and Tracking Technologies

Our website uses cookies – small files stored on your device that help the site function properly and remember your preferences.

Essential Cookies

These are necessary for the website to work. They enable basic functions like page navigation, access to secure areas, and keeping you logged in. You can't opt out of these without affecting how the site functions.

Analytics Cookies

We use analytics to understand how visitors use our site – which pages are most helpful, where people encounter problems, and how we can improve. This information is aggregated and doesn't identify you personally.

Preference Cookies

These remember your choices (like preferred language or text size) to make your experience more personalised.

You can control cookies through your browser settings. Blocking certain cookies might affect your experience on our site.

Children's Privacy

Our courses and services are designed for adults in professional settings. We don't knowingly collect information from anyone under 18 without parental consent.

If we discover we've inadvertently collected information from a minor without appropriate consent, we'll delete it promptly. If you believe we have information about a child that shouldn't have been collected, please contact us immediately.

Changes to This Policy

We review this privacy policy regularly and update it when necessary. Changes might be needed because of new laws, services we offer, or improvements to how we handle data.

When we make significant changes, we'll notify you by email (if we have your email address) or through a prominent notice on our website. The updated policy will always show the effective date at the top.

Continuing to use our services after policy changes means you accept the updated terms. If you disagree with changes, you can close your account or request deletion of your information.
